Communicating is about connecting—not imparting information. In reality, communicating is about speaking clearly, listening respectfully, and understanding the others perspective without imposing our opinions onto them.

Reasons We Have Difficulty Communicating

Too Wordy

We overwhelm others with our words.

Failure to Listen

Preoccupied with somethings else or worried about what we want to say next.

Ego

We have decided that what the other has to say has no value to us. We are right.

Lack Curiosity

We fail to be curious. We think we know what they will say.

You Monologue

You want to talk. You do not want others to do so.

Too Busy

Your to do list comes before connecting with others.

Fail to Prioritize Goals

We fail to be clear about our goal in the conversation: Are we trying to get what we want? Trying to keep and improve the relationship? Keeping and improving self-respect?

Failure to ID Need

What is the speaker wanting or needing?

The Power of Communication

Communication is both art and skill. Therefore, the ability to write and speak messages in a clear and articulate way can be profound. Likewise, it can be used for the purpose of inciting a crowd to riot, or in contrast to protest for peace. Similarly, it can sway the people of a country to turn on their own friends & neighbors, orconversely bring hope when all feels lost.

Communication Matters

In short experience has taught us that words matter. Nevertheless, many people today avoid face to face conversations. Subsequently, verbal conversations seem to be diminishing and in contrast we often message through text or email meant for brief  succinct notes thus losing the richness and depth of face to face connection.

Connection through Communication

However,  people long for connection with others, people often say they are lonely but have a thousand friends on a social platform that they do not know. It is not surprising that our Emotional Bank Accounts are empty and people long for intimacy in their relationships. To illustrate almost 50% of all first marriages end in divorce, and the odds get worse for the second and third marriages. People are turning more and more to addictive behaviors for connection. In contrast to divorce addictive behaviors are on the rise globally (WHO), For example, studies indicate that roughly 47% of the U.S. adult population may experience maladaptive signs of an addictive disorder within a 12-month period. Our search for intimacy  often leads to seeking fulfillment through false means.

Intimacy in Communication is Possible

However, almost universally when people have problems with others it is a lack of skills in the area of communication and connection. The fact that this is true is good news because although skill deficit is the problem, the gaining of need skills is the solution. The solutions is within easy reach because skills are attainable and easily learned. Especially if there is a desire to learn the skills versus blaming others short-comings. The skills can be easily generalized with intentional practice, and perfected over time. It is important to realize the skills we lack are not our human failings but often needed  skills for an adult to navigate life but that we often have not yet learned.

Communicative Competence

Communicative competence is the ability to use language effectively and appropriately in social situations, going beyond mere grammatical correctness. It involves combining linguistic knowledge with social, contextual, and strategic skills to achieve communication goals (e.g., negotiating, persuading) across various interactions.

Key components of communicative competence typically include:

    • Linguistic Competence: Knowledge of vocabulary, grammar, syntax, and phonology to form correct sentences.
    • Sociolinguistic Competence: Understanding how to use language appropriately based on the setting, topic, and relationship (e.g., formal vs. informal).
    • Discourse Competence:
       The ability to construct coherent, connected stretches of language, such as conversations, stories, or reports.
  • Strategic Competence: The ability to use verbal and non-verbal strategies to fix communication breakdowns (e.g., asking for clarification, rephrasing) or manage gaps in knowledge.
In short, it is knowing not just what to say, but how and when to say it to whom, say the researchers at ERIC and the Coalition of Oregon School Administrators.

Small Things We Could Improve When Communicating

"Would this be a good time to talk?"

Asking the other person if they are at a place to listen when you want to talk to them gives them time to shift their focus or schedule a later time to talk with you.

"How can I Help or What are you needing?"

Asking this question when someone wants to talk to you helps clarify how you should be listening. Do they want validation and support, help with brainstorming or fixing a problem, or do they just need someone to hear what they are saying.

"Give me 5 minutes to finish the email. Then I can listen."

If you cannot listen in the moment give them a time when you can attend.

"I hear you have a problem with my______________."

Is a good response when someone criticizes something that is yours such as your hair-do, clothing, car, dog, etc. Put a period at the end of the sentence and then smile and move on with your day.

"That's an interesting perspective."

Sometimes we don't agree (or are not sure) with what someone says but it is not the time or place to have a discussion about the topic. This statement said in a neutral tone doesn't agree or disagree it acknowledges that you have heard that person's perspective,

""Please'" "Thank You." "Excuse me"

Politeness and good manners are always appropriate and in good taste.

BODY LANGUAGE

Communication is a series of skills. Learning, generalizing and refining them can be a daunting task, but with an open mind, and kind heart you can master these skills by giving yourself nd other grace, not judgment.

  • -be honest, and direct in a kind way
  • -say what you mean, and mean what you say
  • -Listen for what is and isn’t said, then verify
  • -Reflect to ensure understanding & to validate that you have not only listened but heard.

Communication is both art & science that takes a lifetime to master. 

EMPATHY

When might you say, "that's an interesting perspective"

When someone was is talking and you don’t necessarily agree but it isn’t the time or place to have a greater discussion on the subject.

When might you reflect on the unspoken meaning under the message?

When someone is sharing something that is important to them and clearly there is a depth of feeling behind the words.

A person is telling you one thing but their body language is telling you something else. Which do you believe?

Body language. Lying easy but lying with your body language is rare.

Your mother says (unsolicited), she likes your hair short better. How do you respond?

You reflect back to your mother, in a please pass the salt tone of voice, that you hear that she has a problem with your hair style.

What might you ask someone that wants to talk to you before they get started?

You might ask them what they are needing or wanting so you can listen with the correct goal in mind.
